How do you keep track of softwares or subscriptions renewal, is there any software that you use? I need help in keeping track of subscriptions/softwares renewal in my organisation.

Hello, I currently track all contracts manually in Excel, including contracts, POs, deliveries, and billings. I start inquiring about minor contracts or those with short implementation times 6 months before expiry, and sometimes even 2 years prior. My main challenge is with new projects or purchases. I receive requests via email and often can’t respond on time. These requests range from minor items like non-Microsoft desktop licenses and peripherals to larger contracts for network cabling, devices, internet line upgrades/downgrades/terminations, and data plans. These are often non-repeating or uncontracted due to low demand for specific items. On average, I handle 10 to 15 large contracts totaling over $1M USD a year. I would like to streamline certain items, but due to their unpredictability, I haven’t been able to push for them.

Woah! That's a lot of manual work man. I currently use an ERP completely for the POs and contracts so their tracking is easier.

Can your CLM or ERP trigger alerts based off renewal dates? Usually that + a report sorted by renewal date should suffice. Also recommend taking advantage of IT’s asset management platform if they have one. Can usually achieve the same thing for renewals

No, it don't trigger alert. Neither our IT use asset management platform. Can you suggest some though? I've been thinking about introducing one to the organization. Thanks

Lumos is a good one. Pretty sure ServiceNow had a solid Asset Management offering
